Job Description

The Tessitura Manager is responsible for the overall vision, strategy, and management of the Tessitura application, including administration and support. Based on knowledge of standard museum practice, the Manager plans, coordinates, and implements activities necessary to the effective operation and maintenance of Tessitura. Serves as a lead member of the Cooper Hewitt Tessitura Committee, which is responsible for the management and tracking of Tessitura’s success. Assists with the development of policies, procedures, and workflows for the creation, storage, and use of Tessitura. Develops mechanisms and metrics to measure the effectiveness of Tessitura efforts. Independently is responsible for information entered into Tessitura to ensure consistently reliable access to data. Assists in the development of data standards, authority terms, and reports that extend the use of Tessitura. Based on knowledge of standard museum practice, works cross departmentally to identify requirements and recommends enhancements for ongoing database development. Reviews data for compliance with established data entry practices and/or enters data. To support the various museum functions, assists with the creation of forms and reports on an ad hoc basis in response to queries from staff, fellows, researchers, and the general public. Trains museum staff in the use of Tessitura. Regularly seeks feedback from staff to help in planning training that meets their needs. For staff with limited prior experience with Tessitura, assists in understanding the basic concepts of information management, data standards, and controlled terminology. Documents all aspects of the system. Develops a cataloging manual to document the use of fields, data entry standards, terms, and vocabulary used in the CHSDM implementation of Tessitura. Develops a procedural manual to document the functions of the system and database application. Develops abbreviated guides, tip-sheets, and other instructional aids that help staff users with common system functions. Responsible for system security and controlling access to sensitive museum information. Assists with the creation of user profiles and access to the system as appropriate to each individual or group’s duties. Sets configurations and query access to the system. Serves as primary contact with the system vendor, articulating requirements and enhancements to the program and reporting problems with the system to ensure efficient data input, retrieval, display, and storage capability. Coordinates with appropriate Tessitura and Smithsonian IT staff on the effectiveness of the system and recommends enhancements. Works with Smithsonian’s Digital Transformation Office on pan-institutional implementation of CRM systems Maintains Payment Card Industry Data Security Standard (PCI DSS) Documentation and Dataflow diagrams for Smithsonian PCI DSS Assessor. Enforces PCI DSS policies, establish baselines, and execute in-scope requirements for CRM/Tessitura and related integrated systems in the museum. Work with stakeholders across museum to raise awareness of and provide guidance on SI Privacy Office policies relating to their data needs. Works with vendors and provide required documentation for OCIO and IT Security risk assessment. Determine and implement highest possible security protocols in CRM/Tessitura (P2PE, Tokenization, Segmentation, Awareness). Maintains comprehensive information on Tessitura and will generate reports for internal CHNDM and SI statistics. Maintains professional competence through participation in professional organizations and activities.
